Case Study
Middleton Family Health – Zoom Rooms
Client:Â Middleton Family Medicine
Location:Â Middleton, MA
Technology: AV, Wireless Access, Communications Infrastructure
Challenges:Â To enable teleconferencing capabilities in two rooms and provide clients with a seminar-like opportunity to discuss health issues in a HIPAA-secure and safe support group environment
Sector: Health
The Project
During the winter of 2019, the office expanded their footprint to include new exam rooms, new offices and additional conference rooms. To accommodate the expansion, KTS moved their server room and installed the cabling and wireless access points to support the office.
After successfully completing the project, KTS was approached by Middleton Family Medicine to wire a conference room and staff break room to accommodate videoconferencing and Zoom meetings. The conference room would offer a setting for larger video presentations and medical consultations, including private telemedicine, and group sessions including diabetes support groups and weight management support groups. The break room would be an ideal huddle room for town hall-style employee meetings when not all staff are available to meet on-site.
The Work
KTS identified the requirements for the two AV rooms and designed each according to specifications. KTS reviewed the recommendations with the client and, upon approval, the installation was scheduled.
KTS prepped both rooms, installing the bracing for the cameras and displays and the wiring to support the AV components of the Zoom platform. KTS chose to use iPads for the system controllers because of their easy-to-use and intuitive touch screens. The collaboration room system software was installed, testing was completed, and training of the staff was conducted.
Challenges
Confidentiality and security were important elements of design for these two collaboration rooms. These rooms enable patients to confidentially dial in from their own devices to discuss their personal health with their provider. As a Zoom Rooms installer, KTS completes HIPAA certification every two years to adhere to all patient privacy requirements.
Benefits / Impact
In just two days, both the larger conference room and the smaller breakout room were ready for teleconferencing, with the Zoom software and all associated AV hardware in place and tested.
During the Covid-19 pandemic, Middleton Family Medicine found themselves fully prepared to pivot to telemedicine for the ongoing care of their patients because they had invested in these collaboration rooms before the virus outbreak.
