Improving the Virtual Meeting Experience for a Global Pharmaceutical Company
Client: A New England Pharmaceutical Company
Location: Portsmouth, NH
Technology: Audio Visual
Challenges: Working off hours/extremely high ceiling
Sector: Pharmaceutical
The Client
The Southern New Hampshire facility of a leading global pharmaceutical company headquartered in the EU with offices around the globe. Their focus is on enabling treatments that prevent illness, support healthier lifestyles and create a healthy environment.
The Issue
The Southern New Hampshire facility has a multipurpose space which is used as a cafeteria, town hall-style meeting place and video conference space. Additionally, the room has a retractable wall which can divide the space into two smaller sections. Using this space for virtual meetings has long been important to the company, since participants are located around the globe.
The space was set up with three ceiling projectors for meeting presentations and four 360° ceiling speakers. The system was very manual for source displays, and there were issues with feedback and poor audio coverage within the space. The company reached out to KTS to help them solve their audio-visual issues and improve the quality of their meetings.
The Solution
KTS designed and installed a new A/V system with three projectors, two 85 inch TVs on the wall and multiple camera connections throughout the room.
A presenter’s display allows the speaker to see their presentation projected on a screen facing them so they don’t have to look over their shoulder or down at a laptop to see what is being presented. A wireless mouse is used by the presenter to change the screen.
There are eight zones of speakers throughout the space and eight high-end wireless microphones, all digitized for audio and capable of running at the same time without any feedback issues.
In addition, when meetings end, a tap of a button shuts down the conference mode and returns the space back to normal A/V; and when the retractable door is closed, all the electronics in the unused portion of the room are able to be shut off by sensors.
Everything is easily and conveniently managed by an iPad.
Challenges
Logistical challenges included installing wiring in ceilings as high as 18 feet and planning the work for weekends when the workspace was accessible. Planning and sequencing the work was paramount to get the job done efficiently and on time.
Benefits/Impact
The company now has a state-of-the-art system in place with high quality, professional equipment that has eliminated feedback issues.
They have the flexibility to offer a television feed when the space is being used as an employee cafeteria, but to quickly and easily shift the space to hold a facility-wide town meeting or to host a virtual meeting with colleagues around the globe.
The customer was thrilled with KTS’ work designing and installing the A/V system and remarked on the professionalism of the KTS team, saying they hardly knew they were there. They were so pleased with the work that they have reached out to KTS for two additional projects.
